Background

The European AIDS Treatment Group (EATG) is a European network of nationally-based volunteer activists comprising of more than 150 members from over 45 countries in Europe. Our members are representatives of different communities affected by HIV/AIDS in Europe. 

     

Mission statement of EATG: 

EATG is an organisation driven by people living with HIV and key affected populations that is committed to equitable, timely and sustainable access to effective prevention, diagnoses, treatment and holistic care for all people living with and affected by HIV and associated infections and morbidities. 

 

The primary geographic focus of the EATG is the member states served by the World Health Organization Regional Office for Europe; however, the EATG will consider opportunities to collaborate with and support similar efforts in other parts of the world. 

 

About the RBDCOV (RBD Dimer recombinant protein vaccine against SARS-CoV-2) project

The main objective of RBDCOV project is to test the efficacy, tolerability, and safety of two new vaccines against different variants of COVID-19 (Wuhan and South African/UK) based on the outstanding data generated using a recombinant protein developed by the consortium partners. Two different phase I/II clinical trials will be run during the project duration: Phase I/II for paediatric population to analyse the Wuhan vaccine and Phase I/II in adults to analyse adjuvanted recombinant RBD protein codifying for SA and UK SARSCov-2 variants given as a booster vaccination. The vaccine trial will include a cohort of immunocompromised individuals, including people living with HIV.

The role of EATG is to support project/ trial communications (WP8), provide the participant/community view on the design of the study and clinical protocols (WP9), and lead on the psychosocial assessment for participants of the study (WP9).

 

EATG Objectives for the project

  • To ensure communications are clear and appropriate from a community perspective (WP8)
  • To promote and ensure the engagement and feedback of participants of the different clinical trials by creating a Community Advisory Panel (WP9)
  • To ensure that protocol sections concerning participants are built considering their needs and preferences (WP9)
  • To assess the expectations of the participants and anticipate any concern coming from them (WP9)
  • To ensure that the information delivered to participants involved in the clinical trial is accessible, complete, transparent and comprehensible (WP9)

 

Key Responsibilities

The Project Coordinator will be responsible for coordinating EATG’s involvement in the RBDCOV project WP8 and WP9, ensuring the organization’s contributions align with its mission and strategic goals. This role will facilitate communication between EATG, its partners, and other stakeholders while overseeing the timely and effective delivery of project outputs. The Project Coordinator is responsible for planning, organising, and directing the completion of the deliverables and activities within the RBDCOV project for EATG, while ensuring these deliverables and activities are on time, within budget and within the scope of the objectives. Working under supervision of the Partners in Science Programme Manager, the Project Coordinator, for the RBDCOV Project, will:

Oversee the development of EATG strategy and workplan:

Coordinate Strategy and Work Plan:

  • Lead the development of EATG’s strategic approach for the project.
  • Coordinate the implementation of the strategy, ensuring alignment with project goals.
  • Adapt and update the work plan as needed to respond to evolving project needs and objectives.

 

Coordination:

  • monitor and coordinate the EATG deliverables and their activities and ensure that they are on time and adequately delivered. The Project Coordinator will promptly communicate with the consortium coordinator in case of changes from the planned activities.
  • set up and chair regular calls and meetings, or when required.
  • report and communicate on the development of the project and EATG tasks (both for the interim and annual reports for the project and EATG internal reports, and similar).
  • liaise with the RBDCOV consortium coordinator, WP leaders and other key consortium partners to discuss the development of the activities, EATG’s involvement across different Work Packages, identify potential obstacles and propose solutions.
  • monitor and keep track of the budget together with the Finance Manager.
  • monitor and keep track of working hours for the project
  • ensure that timesheets of members and staff involved are regularly filled in and countersigned
  • ensure invoices are received, approved and processed for payment
  • report regularly to the Partner in Science Programme Manager and other staff members as relevant.

 

Monitor Community Engagement:

Working in close collaboration with the Community Engagement Consultant, the Project Coordinator

  • Oversee community engagement efforts, ensuring that the voices of people living with HIV and other affected populations are heard and incorporated into the project’s development and outcomes.
  • Work closely with EATG members to gather insights and feedback from the community and report findings back to the members.

 

Communication

Working in close collaboration with the Communications Manager and the Communications Coordinator the Project Coordinator

  • Oversee community communication activities, ensuring that the deliverables on communications are delivered on time according to the workplan.

 

Location

Remote, with occasional travel as required by the project. 

Type of contract

Freelance (natural person under direct contract other than an employment contract). The consultant will require their own laptop, a stable internet connection and availability during CET working hours.  

Duration

The position will be for the duration of the RBDCOV project until 31st August 2025, starting as soon as possible.

 

Required Qualifications and Experience

  • University degree in public health, social sciences, project management, or a related field (Master’s degree preferred).
  • At least 3-5 years of experience in project management, preferably in the healthcare, medicine research and development sector.
  • Proven experience in patient advocacy work, community and other stakeholders’ engagement.
  • Understanding of clinical research and public health, preferably in the context of COVID-19 and immune compromising conditions.
  • Excellent communication skills in English (both written and spoken); additional languages are an asset (particularly Spanish).
  • Ability to work independently and as part of a multidisciplinary team.
  • Strong organizational skills and attention to detail.
  • Experience with EU-funded projects or similar large-scale consortia.
